Partners are able to create company onboarding links for companies both via API, or through the Super Admin Dashboard.
API - see Company Onboarding
Super Admin Dashboard - Companies can be created from this dashboard home page
Company Onboarding Process
- The employer generates or receives their onboarding link
- Once the employer follows the link, they will be prompted to input the following information:
- Primary Business Owner Information
- First and Last Name
- Job title
- SSN
- Email address
- Ownership %
- Address
- Business Information
- Business name (must be the legal entity name on file with the IRS)
- Federal Tax Classification
- Federal Employer Identification Number (FEIN)
- Business address (must be the legal address on file with the IRS)
- Business phone number
- Worker Type Supported
- Primary Business Owner Information
A best practice for confirming the correct business name, FEIN, and business address is to use 1) the details in a priorly filed 941 or 940 return, or 2) the details in the SS-4 FEIN assignment letter when the company was registered with the IRS.
- Once the company details have been filled out, the employer would select Start Onboarding
- Next, the employer will be prompted to enter their company bank account details to complete account verification. This includes bank name, account number, and routing number. This account will be used to fund employee direct deposit and tax payments.
- After entering the bank account details, the employer will click Submit.
- At this point, Zeal will generate 2 micro-deposit amounts that will be sent to the provided bank account within 1-3 business days.
- Once the employer receives both of the micro-deposit amounts, the employer will revisit the onboarding link to input the amounts and select Verify.
- Next, the employer will be brought to the Paperwork section. This section is where the employer will review and sign the following documents:
- Declaration of Representative form (Form 2848) - this form allows Zeal to communicate with the IRS on behalf of the employer in tax matters
- Reporting Agent form (Form 8655) - this form allows Zeal to 1) send payments and file returns, 2) provide information to the IRS to resolve penalties, and 3) receive notices from the IRS
- Direct Deposit form
- Zeal Terms and Conditions
- The employer will sign and save their signature in the signature box. They will then check all of the boxes next to the above documents to accept. Once all documents are signed and accepted, they will select Complete Registration.
- Companies that do not require migration will be set to Payment Permission Pending status after completing registration. Companies that do require migration will be set to Payroll Access Needed status.
- Once the company has completed onboarding, they will create work locations in the Work Location tab on the Employer Dashboard. Work locations are the physical locations employees work from. These include company offices and home addresses (if the employees work from home).
- After work locations have been created, employees can be added and assigned to their respective work locations.
